Role Profile
We are seeking a professional, organized, and customer-focused Receptionist | HR Assistant to serve as the first point of contact for visitors, clients, and employees while providing administrative and human resource support. The successful candidate will play a key role in ensuring the smooth day-to-day operation of the reception and supporting HR and executive office functions.
Responsibilities or duties
- Serve as the first point of contact for visitors, clients, and staff.
- Operate the switchboard by answering, screening, and directing calls.
- Receive, sort, and distribute mail, courier deliveries, and official documents.
- Maintain a clean, organized, and professional reception area.
- Schedule meeting rooms and coordinate meeting logistics, including refreshments where required.
- Provide administrative support to the HR Department and Executive Offices.
- Prepare correspondence, reports, presentations, and meeting minutes.
- Maintain filing systems, attendance records, and HR documentation.
- Assist with HR administration, including employee records and onboarding activities.
- Liaise with staff, suppliers, and external stakeholders.
- Comply with company health, safety, and security requirements.
Qualifications or requirements (e.g., education, skills)
- Diploma in Front Office Management, Human Resource Management, or a related field. A bachelor's degree is an added advantage.
- Proficiency in Microsoft Office Suite.
- Hands-on experience with office equipment.
- Excellent communication, interpersonal, and organizational skills.
- Strong customer service orientation and professional appearance.
- Ability to multitask, prioritize work, and maintain confidentiality.
- Proactive, resourceful, and detail-oriented.
Experience needed
- At least 2 years' experience as a receptionist, front office representative, or HR Assistant.
- Serve as the first point of contact for visitors, clients, and staff.
